Acceptable Use Policy

This Acceptable Use Policy ("AUP") sets out rules for using Engramiq's platform and related applications (the "Platform"). The Platform is intended for internal business use by authorised users of Engramiq's customers. This AUP applies to all users who access or use the Platform. It is incorporated by reference into the End User Licence Agreement and any applicable customer agreement.

We designed these rules to keep the Platform secure, reliable, and compliant. Please use the Platform responsibly and in accordance with applicable law and any instructions provided by your organisation.

1. Prohibited use

You must not use (or attempt to use) the Platform to:

  • break the law, or encourage or facilitate unlawful activity;
  • infringe or violate intellectual property rights, confidentiality obligations, privacy rights, or other rights of any person;
  • upload, transmit, or introduce malware, spyware, Trojan horses, worms, or other harmful code;
  • probe, scan, or test the vulnerability of the Platform or any related systems, or bypass security or authentication measures, except with Engramiq's prior written consent;
  • interfere with, disrupt, or degrade the integrity or performance of the Platform (including by denial-of-service attacks, excessive automated requests, or abnormal load);
  • access the Platform using automated means (bots, scrapers, crawlers) except where explicitly permitted by Engramiq in writing;
  • attempt to access accounts, data, or systems you are not authorised to access, or attempt to gain unauthorised access to the Platform or any related systems;
  • share account credentials with anyone else, or allow multiple people to use a single set of credentials where the relevant customer agreement does not permit it;
  • misrepresent your identity, affiliation, or authority, or impersonate another person or entity;
  • remove, obscure, or alter proprietary notices, labels, or security controls;
  • use the Platform to build or provide a competing product or service, or to reverse engineer or extract source code or underlying ideas except to the extent permitted by law;
  • circumvent or attempt to circumvent technical limitations, usage controls, or protective measures (including rate limits) implemented to protect the Platform and other users.

2. AI-powered features (additional rules)

Where the Platform provides AI-powered features, you must not use them to:

  • make safety-critical decisions (or decisions that could reasonably be expected to cause death, personal injury, or severe physical or environmental harm) based solely on AI outputs;
  • create, deploy, or facilitate unlawful discrimination, harassment, or privacy-invasive profiling;
  • attempt biometric identification or infer sensitive attributes about individuals (for example, health, religion, political opinions, sexual orientation, or trade union membership) unless you have a lawful basis, authorisation, and appropriate safeguards;
  • submit personal data or confidential information that you are not authorised to process or disclose;
  • use prompts, inputs, or outputs to violate third-party rights, including intellectual property and confidentiality obligations.

You (and your organisation) remain responsible for verifying AI outputs against source materials and applying appropriate human review and controls.

3. Customer Content standards

You (and, where applicable, your organisation) are responsible for the content you upload, submit, or otherwise make available through the Platform ("Customer Content"). You must ensure you have all rights, permissions, and lawful bases needed to provide Customer Content and to allow Engramiq to process it to provide the Platform.

You must not upload special category personal data or other highly sensitive personal data unless it is lawful, necessary for your permitted use, and subject to appropriate safeguards and permissions.

4. Fair and reasonable use

We may apply reasonable technical measures to protect the Platform and other users, including rate limits, quotas, or temporary restrictions in cases of suspected abuse or excessive load.

5. Reporting issues and security

If you suspect unauthorised access, security vulnerabilities, or misuse of the Platform, please report it promptly to info@engramiq.com. Do not publicly disclose vulnerabilities until Engramiq has had a reasonable opportunity to investigate and mitigate them.

6. Enforcement

If we reasonably believe you have violated this AUP or that your use of the Platform poses a security, legal, or operational risk, we may suspend or restrict access to the Platform, remove or disable access to Customer Content where appropriate, and take other reasonable steps to protect the Platform and users. Where practicable, we will notify the customer's administrators.

7. Changes to this AUP

We may update this AUP from time to time. We will provide reasonable notice of material changes where practicable (for example by posting an updated version on our website or notifying customer administrators).
